1.Document Management and Coordination:
Act as the primary point of contact for receiving and processing official correspondence, including notes, letters, reports, notices, meeting schedules, and office orders from the Registrar’s Office.
Ensure timely and accurate presentation of these documents to the Deans and the Director, IQAC, enabling informed decision-making.
2.Support for IQAC Training Programs, Seminars, and Workshops:
Assist in organizing and coordinating training programs, seminars, and workshops to enhance academic and administrative quality.
Initiate notes, prepare budgets, and procure training materials to ensure events are well-executed and meet institutional standards.
3.Preparation of Presentation Materials:
Collaborate with the Director, IQAC, to draft notes, create PowerPoint presentations, and develop other materials for workshops, seminars, and meetings.
Ensure content is clear, professional, and aligned with the university’s quality assurance objectives.
4.Internal and External Communication:
Maintain effective communication channels with various university departments and offices through telephone, email, and in-person interactions.
Liaise with external stakeholders, such as regulatory bodies, to ensure compliance and alignment with quality assurance standards.
5.Report Preparation and Submission:
Assist the Director, IQAC, in preparing and submitting comprehensive reports to key stakeholders, including the Honorable Vice-Chancellor (VC), Southeast University (SEU), UGC, and the Board of Trustees (BOT), SEU Trust (SEUT).
Ensure reports are accurate, timely, and reflect the university’s quality assurance efforts.
6. Academic Document Management:
Collect and preserve class routines and final exam question papers from all academic departments for IQAC review, ensuring alignment with quality standards.
Maintain organized records to facilitate audits and evaluations.
7. Faculty Monitoring Reports:
Compile and prepare weekly faculty monitoring reports, ensuring accuracy and completeness.
Distribute reports to the BOT Office, VC Office, and Registrar Office to support oversight and decision-making.
8.Office Administration
Oversee the daily operations of the IQAC Office, including procuring office
stationery and supplies from the central store.
Maintain a professional and efficient office environment to support IQAC
activities.
9. Additional Responsibilities:
Undertake any other duties assigned by the Director, IQAC, or university
management to support institutional goals.
Demonstrate flexibility and adaptability in addressing emerging needs and
priorities.
